We the members of International Engagement Volunteers do hereby establish this Constitution so that our purpose and endeavors may be realized to their fullest extent.
Article I
2.Agrees to abide by all duties assigned to him/her as a member.
3.Agrees to abide by all rules stated in this constitution.
4.Agrees to abide by all rules and regulations put forth by Michigan State University, particularly those that dictate non-discriminatory behavior.
5.Agree to not compromise IEV’s mission statement and purpose in any way or form, which would lead to a detriment of the organization.
6.The organization will not discriminate on the basis of age, color, gender, gender identity, disability status, height, marital status, national origin, political persuasion, race, religion, sexual orientation, veteran status, or weight. Also, only MSU students may be officers and/or voting members.
2.A member may, and will, be ousted should he/she compromise IEV’s mission statement, which would lead to a detriment of the organization.
3.Membership ousting will be conducted by majority vote with no less than three officers present to stand as witnesses and recorders of the event.
2.An officer may be deposed if he/she has been, by majority vote, deemed neglectful of the organization.
3.An officer may be deposed, by majority vote, if he/she fails to abide by any and all rules applicable to all members.
4.An officer may, upon his/her own free will, step down from office should he/she feel incapable of performing the required and mandated tasks appointed to him/her.
2.Any site leader who cannot attend a meeting or event must notify the President or Vice President at least 48 hours in advance.
3.Site Leaders have to help out at at least 10 other fundraisers.
4.All members and site leaders must be on time to every IEV event he/she signed up for. Site leaders who are not ready for the event when it starts will be considered late. Site leaders who are not ready for the meeting or event fifteen minutes after it begins will be considered absent, unless they have talked to the event coordinator and the President or Vice President.
a.A 3 strike rule will be implemented for Site Leaders who do not show up for an event they already signed up for. Strike 1 will be a warning. Strike 2 will require the Site Leader to help out at another extra event. Strike 3 will be a meeting with the Supervisor of IEV.
5.All site leaders will be required to plan, coordinate, and reflect on at least one fundraiser each year. Site leaders must record their plan using the officers’ fundraiser planning sheet.
6.All site leaders will be required to plan and enact a mock reflection during an IEV meeting.
7.Each member is required to attend both IEV social events each semester.
8.The first time these policies are not followed, site leaders are required to meet with an IEV advisor. The second time these policies are not followed, site leaders will be dismissed from IEV and lose position as site leader for IEM.
9.All members of IEV must sign a membership agreement form containing these policies.
Article IV
2. A member may abstain from voting on any decision should he/she feel undecided on a matter and upon his/her own free will.
3.Proxy voting is allowed in the absence of member only if the member representing the absent has proof that permission for a proxy vote was given.
4.No proxy voting shall take place in the event of an amendment of the constitution.
5.A majority vote determines the outcome of a motion.
Article V
1. It is the duty of the President to draw an agenda for each meeting, inform all members of the purpose for a meeting, and when the meeting shall be held.
2. It is the duty of the President to follow up with IEV’s advisor regularly to keep everyone apprised of organization ongoing business.
3. It is the duty of the President to plan, delegate, evaluate, set goals, and create ideas, tone, and direction of any and all ongoing business and/or meetings.
4. It is the duty of the President to facilitate process of completing and submitting organization renewal information to IEM site leaders.
5. It is the duty of the President to set and carry out deadlines in a timely fashion.
6. It is the duty of the President to communicate ideas and information.
7. It is the duty of the President to appoint committees and task forces.
8. It is the duty of the President to meet regularly with IEV’s advisor and keep him/her apprised of activities of organization.
9. It is the duty of the President to motivate and recognize the achievement of officers and members.
10. It is the duty of the President to attend all IEV meetings and have appropriate representation.
11. It is the duty of the President to understand, educate membership and ensure that organization adheres to campus and organizational regulations.
12. It is the duty of the President to facilitate all meetings of the organization and serve as official representative.
13. It is the duty of the President to mediate conflict within organization if any.
Duties of IEV Vice President:
1. It is the duty of the Vice President to perform the duties of the President in his/her absence.
2. It is the duty of the Vice President to serve in partnership with the President, as a leadership team.
3. It is the duty of the Vice President to help create a functional leadership team. Open and frequent communication with the president is necessary.
4. It is the duty of the Vice President to plan at least two social events each semester.
Duties of IEV Treasurer:
1. It is the duty of the Treasurer to keep all budget information current and receipts available to members upon request.
2. It is the duty of the Treasurer to have financial transactions reconciled in the event of an audit.
3. It is the duty of the Treasurer to carry all transactions through MSU Federal Credit Union.
4. It is the duty of the Treasurer in assisting organization officers in their activities on a sound business basis and ensuring the consistent accounting of records.
5. It is the duty of the Treasurer to prepare and adhere to an approved budget.
6. It is the duty of the Treasurer to maintain accurate records of any and all expenses.
7. It is the duty of the Treasurer to keep the executive board informed of all financial information of the organization.
8. It is the duty of the Treasurer to have the books audited thoroughly and track all expenditure.
9. It is the duty of the Treasurer to work with fundraising committee to set fundraising goals and coordinate fundraising activities.
10. It is the duty of the Treasurer to ensure all PayPal donations are deposited into the MSUFCU account.
Duties of IEV Secretary:
1. It is the duty of the Secretary to record accurate minutes of all meetings.
2. It is the duty of the Secretary to keep the organization’s permanent records/archives.
3. It is the duty of the Secretary to update all roster information.
4. It is the duty of the Secretary to be an official organization correspondent.
5. It is the duty of the Secretary to order organization supplies.
6. It is the duty of the Secretary to publish organization bulletin.
7. It is the duty of the Secretary to maintain official membership record.
8. It is the duty of the Secretary to complete organization directory.
9. It is the duty of the Secretary to attend all meetings.
10. It is the duty of the Secretary to post or email to membership to assure that membership knows which items were completed at the last meeting, which items must be covered at the next meeting, and other miscellaneous tasks or agenda items.
Duties of IEV Historian:
1. It is the duty of the Historian to keep record or history of IEV activities and achievements during the school year.
2. It is the duty of the Historian to take pictures at projects and meetings
3. It is the duty of the Historian to design a poster board for IEV to present to the Government Hall meetings
4. It is the duty of the Historian to keep material produced by IEV throughout the year. For example, workshop brochures and publicity flyers.
5. It is they duty of the Historian to document IEV achievements through the year. For example reaching our goals for the fundraisers.
6. It is the duty of the Historian to give an update of the history file in every IEV meeting.
7. It is the duty of the Historian to be present for every IEV meeting and fundraiser.
8. It is the duty of the Historian to update the IEV website, www.ievmsu.weebly.com on a weekly basis.
9. It is the duty of the Historian to actively use the IEV social media, including but not limited to, Facebook and Twitter.
10. It is the duty of the Historian to lead and approve the advertising of fundraisers and other events for IEV.
Duties of the IEV Ambassador:
1. It is the duty of the Ambassador to attend all IEV meetings.
2. It is the duty of the Ambassador to maintain relations with all associated organizations, including attending appropriate meetings. Associated student organizations may include but are not limited to CRU, NASO, APASO, Black Caucus and other CORES Groups.
3. It is the duty of the Ambassador to acquire Hall Government information and set up presentations for funding.
4. It is the duty of the Ambassador to report all relevant information of other organizations during IEV meetings.
Article VI
2. Upon majority vote, and when conflicting with the constitution, Robert’s Rule of Order may be suspended.
Article VII
2. A member motioning an amendment to the constitution must be present and give reason for his/her proposal.
3. An amendment motioned shall be put to a vote.
4. A motion to amend the constitution shall be carried if two-thirds of the membership should vote upon it.
Article I
- The name of the organization shall be International Engagement Volunteers (IEV).
- It shall be the mission and purpose of International Engagement Volunteers to make a difference in the communities at the fringe of Mexico’s society. We seek to achieve this endeavor by coordinating fundraising events whose proceeds shall be used to attain goods and materials necessary for International Engagement in Mexico (IEM) to perform the required volunteering duties while abroad. Duly noted, while working together, IEV and IEM are two separate entities.
- Section 1. Membership is open to any enrolled Michigan State University student who:
